VLC Refund Policy

The Refund Policy applies to all refunds in all situations for international students. Please read it carefully before paying any fees.

(1) To be considered for a refund, a student must submit written notice of withdrawal to the Vancouver Language Centre. Verbal notices will not be considered. Notices of dismissal to a student must also be in written form.

(2) The refund policy includes Tuition Fees. Only unused fees are refunded. For homestay refunds see below

(3) Refunds before the program of study starts:
(a) If written notice of withdrawal is received thirty (30) calendar days or more before the start of the program of study, VLC will retain 10% of the program tuition fees.
(b) If written notice is received less than thirty (30) calendar days before the start of the program of study, VLC will retain 20% of the program tuition fees.
(c) Notwithstanding Sections 3 (a) and 3 (b), VLC will retain the lesser of 10% of the total fees due under contract or $100USD to visa students who are denied authorization from Mexican Immigration prior to the course of study provided that:
(i) The student notifies the institution of the circumstances on or before the first day of the program of study is scheduled to begin; and
(ii) The student, within a reasonable time, provides documentation of the circumstances to the school. A complete and original Letter of Rejection must be presented. Faxed or photocopied documents are not acceptable. Homestay related fees are refunded according to the Homestay Fee Refund Policy explained below.

(4) Refunds after the program of study starts:
(a) If written notice of withdrawal is received or a student is dismissed within 10% of the program of study's duration, VLC will retain 30% of the total fees due under contract.
(b) If written notice of withdrawal is received or a student is dismissed within 30% of the program of study's duration, VLC will retain 50% of the total fees due under contract.
(c) If written notice of withdrawal is received or a student is dismissed after 30% of the program of study's duration, there is no refund.

(5) The following fees are non-refundable: Application Fee, Homestay Placement Fee, Airport Reception Fee, Materials/Book Fee.

(6) If VLC changes the commencement date of a program after entering into a contract with a student, the student is entitled to a full refund, including the Application Fee and other fees charged, if the new date is unsuitable.

(7) Refunds owing to students will be paid after 14 days, but within 30 days of notice of withdrawal by the student or, of Vancouver Language Centre issuing written notice of dismissal. All refunds will be made in the form of a US dollar cheque by first class mail delivery

This policy applies to Tuition. Only unused fees are refundable. Refunds are calculated starting the day written notice is given to Vancouver Language Centre. Application Fees, Airport Reception Fees, and Materials Fees are non-refundable. Homestay related fees are refunded according to the Homestay Fee Refund Policy explained below.

DEFERRED ACCEPTANCE
If you cannot begin your studies on the day for which you applied for, tuition and registration fees are transferable to a later month, within one year, provided the school is notified fifteen (15) calendar days before the start of the initial program start date. The school reserves the right to penalize applicants who request deferred acceptance after this date.

PROGRAM CHANGES
The Refund Policy applies to students who wish to change their programs or schedules for any reason.

VLC HOMESTAY REFUND POLICY
(1) The Homestay Placement Fee is non-refundable under all circumstances.
(2) There will be a $50 USD Homestay Move Fee for any changes of homestay duration, unless otherwise approved by the VLC Homestay Coordinator. This administration fee will also be charged for breaks, postponements and cancellations.
(3) If you want to leave your host family, you are able to do so by taking the following steps:
-You must give two (2) weeks written notice to your host and VLC before moving out.
-Meet with the Homestay Coordinator, complete a Homestay Change form and have it signed by your hosts.
-Submit the Homestay Change form to the Homestay Coordinator.
-You are then free to move out on the agreed date.
(4) A student will be dismissed from homestay if he or she has violated Mexican law and/or VLC Homestay Regulations.

VLC is not responsible for the money that you personally give to your host family.
In the case that you require a refund, you should talk directly to your hosts.
VLC recommends you pay your host every 15 days. This means, you pay the first 15 days on the first or second day of your arrival, and the balance on the first day of the next 15.

VLC HOMESTAY REGULATIONS
(1) In Mexican culture it is not acceptable to go to your room with a friend (male or female). To avoid any misunderstanding, you cannot take anyone to your bedroom.
(2) You can't use any drugs or alcohol inside the house.
(3) You must respect your new family and home. If there is something that you do not agree with, talk with your hosts and try to reach a solution. Remember that you are here to have fun and wonderful experiences!

DISMISSAL POLICY
The following may be causes for the dismissal of a student:
Possession of illegal or dangerous drugs or weapons.
Cheating, plagiarism, stealing or forgery.
Theft of or non-accidental destruction of school property.
Lewd, indecent, or obscene behavior on school property.
Abusive behavior toward other students or school staff.

Vancouver Language Centre reserves the right to inform the Mexican Immigration officials of all program cancellations. This Refund Policy applies to all refunds, in all situations. Please read it carefully before paying any fees.
